Privacy Policy
Who we are
Employd is a free tool that helps students track internship, placement and graduate applications across firms in one place. In this notice, "we", "us" and "Employd" mean the operators of the Employd app, and we are the controller of your personal data.
This notice explains what personal data we collect, why, who we share it with, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).

What we collect
We only hold what we need to run the service for you:
- Account details — your name and email address, provided by Google when you sign in.
- Profile you give us — university, degree, year of study, the industries and opportunity types you are interested in, and any CV or background text you choose to paste in.
- Your activity — the roles you add to your watchlist, your status on each, interview stages, dates, prep notes and reminders you log, and any roles you submit or report.
- Technical — anonymous, aggregate visit and page-view counts, and the cookies described below.
We do not collect special-category data, and we never ask for payment details.
How we use it, and our lawful bases
- To provide the service — manage your watchlist, personalise the board to your interests, and send the opening and deadline alerts you have asked for. Lawful basis: our legitimate interest in providing a tool you have chosen to use.
- Your CV / background text — stored only so it can pre-fill the optional "Personalise with AI" prompt that you copy. We never transmit it anywhere ourselves. Lawful basis: your consent, which you can withdraw by clearing the field.
- Email alerts — sent only while you are opted in. You can opt out at any time in Settings or via the unsubscribe link in every email. Lawful basis: your consent.
Bring-your-own-AI
Employd has no server-side AI. The "Personalise" feature builds a prompt that you copy and paste into a third-party AI tool of your choice (such as Claude, ChatGPT or Gemini). Anything you paste into that tool is handled under that provider's terms and privacy policy, not ours — so take care before pasting sensitive details.
Who we share it with
We do not sell your data or use it for advertising. We rely on a small set of trusted providers (processors) to run the service:
- Google — sign-in (authentication).
- Vercel — hosting the website.
- Railway and Neon — hosting the application and database.
- SendGrid — delivering notification emails.
We may also disclose data where required by law.
International transfers
Some of our providers process data outside the UK and EEA. Where they do, the transfer is covered by appropriate safeguards such as Standard Contractual Clauses or the UK International Data Transfer Addendum.
How long we keep it
We keep your data while your account is active. You can delete your account at any time in Settings → Privacy & data; doing so erases your profile, watchlist, interview stages and alerts. Roles you submitted to the community are anonymised — the suggested role stays, but your link to it is removed.
Cookies
We use a strictly-necessary cookie to keep you signed in, plus a few small preference cookies: flags that remember you have completed onboarding and have visited before, your colour theme, and a per-session visit counter. We do not use third-party advertising or cross-site tracking cookies.
Your rights
Under UK GDPR you have the right to access, correct, erase, restrict or object to the processing of your data, to data portability, and to withdraw consent. You can exercise most of these yourself:
- Edit your details any time in Settings.
- Export my data gives you a machine-readable copy (Settings → Privacy & data).
- Delete account erases your data (Settings → Privacy & data).
- Or email privacy@employdapp.com and we will help.
Complaints
If you are unhappy with how we handle your data you can complain to the UK Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.
Changes
We may update this notice from time to time. We will change the date below and, for material changes, flag it in the app.
